Do you need to have a Face-to-Face meeting?

Face-to-face meetings are effective and they can help to get contributions of teams or groups on the spot, as well as suggestions and corrections. It also helps to get feedback through things like body languages, and so on.

Face-to-face meetings are most times better than virtual meetings or other types of meetings, however, some face-to-face meetings aren’t necessary, such as meetings that would have saved other people’s time by just communicating the required information to be passed in the meeting through other channels.

You might just have sent a mail now to your team about a face-to-face meeting that will take place next week or tomorrow, however, I want you to think about the meeting again, does your team need to have a face-to-face meeting or are there other ways you can have the meeting that would save time?

And so, before sending a notification for a face-to-face meeting, ask yourself, do you need to have a face-to-face meeting. When you need to have a face-to-face meeting, have it because it is a way of having an effective meeting. However, when you don’t need to have a face-to-face meeting, look for alternatives that will help you and your team discuss or pass information.

This is because sometimes people go for face-to-face meetings that would have been unnecessary to go for because of other channels or ways the meetings could have taken place or other ways the information would have been passed which might even save cost and time.

However, when it comes to unavoidable and required cases where everyone has to come to the face-to-face meetings, then a face-to-face meeting is better. Or when it comes to a meeting that the team or group has to meet face-to-face and discuss, then a face-to-face meeting is better.

So what are the alternatives to having a face-to-face meeting or what other ways can information be passed across without a face-to-face meeting? Here are some of them:

  1. Apps: whether on Android, IOS, or Windows; there are so many applications available now that helps teams to communicate online easily. Just a quick search of such apps on the app store of your devices, you will get to see different apps that are made for teams’ communication.
  2. Emails: this is another effective way of passing information because the reader can read the emails and get the details of it when the emails are properly constructed. Some meetings just require you to pass information with details. Then you can ask yourself, can this information be clearly passed through an email? With an email, you can pass the information by sending the email to the necessary people you want to send the emails to.
  3. SMS: also, sending an SMS or a bulk message (in the case of a large group of people) can be effective in passing messages across such as messages like notifications of a new development, or you just want them to be aware of something.
  4. Video Conferencing: this also another option for meetings. In addition, it can help for times when you need to show the team something and you need them to all see it.
  5. Audio Conferencing: a simple conference call can also be utilized for meetings.
